How to create clients & prospects

Learn how to create your clients and prospects in HighGround, including the differences between company types and available license types.

1.0 - Introduction

Creating clients and prospects in HighGround is refreshingly straightforward — we promise, no complicated onboarding rituals or arcane data-entry incantations required.

Before you get started, though, let’s quickly clear up what we mean by clients and prospects — because in the HighGround universe, they’re not quite the same beast:

2.0 - Definitions

  1. Clients are your active, paying customers — the ones you’re currently supporting and securing. They’ll have full access to the platform’s features, alerts, and reports.

  2. Prospects are potential clients — the leads you’re nurturing or quoting, who aren’t quite onboard yet. Think of them as “clients-in-waiting.” You can still set them up in HighGround and show off your cyber-sleuthing skills.

Once you’ve got that distinction down, adding them to the platform is a breeze — and we’ll walk you through it, step by step.

3.0 - How to create clients & prospects

There are 2 ways you can create clients and prospects in HighGround:

3.1 - Manually

To create a client or a prospect manually, follow these simple steps:

  1. Go to the companies tab listed at the top of the screen.

  2. Click "add company" on the right hand side of the page.


  3. Now you should see the create company page like this:

  4. There are many configuration options available to you when creating a company in HighGround:

    Logo: upload a copy of your clients logo (this is optional and can be added later)

    Company Name: your client or prospects name (note: your client may see this so be careful not to use abbreviations)

    Location: select from the pre-defined dropdown list. Your selection here will pre-set the currency, time zone and localization fields

    Currency: this will be used on the technology spend dashboard. This is derived from the Location and cannot be changed after account creation. If you make a mistake, you will need to delete and recreate the company.

    Time zone: this will be used for displaying relevant dates/times such as next integration runtime, scheduled tasks etc. This is derived from the Location, however it can be changed both during and after account creation.

    Localization: this is used to control syntax and formatting of dates, times, currency etc. This is derived from the Location and cannot be changed.

  5. Select the License, which also controls the company type so that you do not inadvertently create a company with the incorrect license type. Available license types are as follows:

    Prospect License: this is the only license type available for prospects, and will create the company with company type = prospect.

    Standard License: this is the default license type for clients, and will create the company with company type = client. If in doubt, create clients with this license and change it afterwards.

    Premium License: this license is required for clients where they will actively participate in their cyber security management via HighGround. The most significant of these features is the ability for clients to have a login to HighGround.

  6. Click 'Create' in the top right. Note: it can take up to 30 seconds for the company to be created, at which point you will be automatically redirected to their dashboard.

3.2 - Automatically

HighGround plays nicely with over 40 of the most common tools in the MSP toolkit — from PSAs and RMMs to Microsoft Lighthouse and beyond. If it’s a key part of your workflow, chances are we integrate with it.

When setting up an integration, you’ll have two handy options:

  • Create new clients
    HighGround can automatically create new clients (not prospects) based on the data pulled from your connected tools. It's a huge time-saver, especially when onboarding new customers.

  • Map to existing companies
    Already have clients or prospects set up in HighGround? No problem — you can map them directly to companies in your integrated platform. This keeps everything in sync and avoids duplicate entries (because no one enjoys a messy dashboard).


    When integrating PSAs, the above options are available, plus these additional configuration options:

  1. Map company types in your PSA to company types in HighGround (Clients, Prospects, Suppliers & Manufacturers). This means Prospects can be created from your PSA integration.

  2. Configure whether new companies are automatically created or must be imported manually
