Find out how to map your data from your PSA to your HighGround account

1.0 - Introduction

Connecting your PSA to HighGround is the fastest way to get started, importing and mapping your existing data for all clients quickly and easily.

Note: We have an integration with Xero if you do not have a PSA or are not using it fully. For more information read our How to connect Xero to HighGround article. We are also working on a QuickBooks integration, expected Q2 2025.

2.0 - How to connect your PSA

3.0 - Map your data

We've built a customizable PSA Mapping tool to give you a lot of control over what data you want to import and how it should be imported, managed through a simple 4 step process:

Step 1: Connect your PSA
Follow steps in 2.0 above for your specific PSA

Step 2: Initial Sync
We will pull key data from your PSA to allow you to map your data prior to a full sync. This is typically completed in less than 1 hour, at which point you will receive an email letting you know your data is ready to be mapped.

Step 3: Map your data
Map your data to your own needs as detailed in 3.1, 3.2, 3.3, 3.4 and 3.5 below. Once complete, click 'Sync' to trigger a full sync.

Step 4: Full Sync
A full sync and import of your data will begin and can take several hours to complete. You will notice data starting to appear in real-time whilst the sync is running and you will receive an email notifying you that PSA sync has completed.


This process can take up to 6 hours for particularly large datasets. If you are not seeing your data and/or have not received an email after 8 hours then something has likely gone wrong and you will need to contact our support team for help on [email protected].

Warning: If the sync fails, you will also receive a sync failed email and you will likely have to contact our support team for help.

Note: HaloPSA can take several hours to sync due to rate limiting on their API.

3.1 - Companies

Automatically import new companies: If any new company is detected in your PSA, they will be automatically created in HighGround. This will be limited to the 'Company Types' you have chosen to import and map i.e. only companies in those company types will be automatically imported.


Import & Map company types: All companies in your PSA will have a company type. You can import companies by company type by selecting the company types that you want to import from your PSA and map them to one of the HighGround company types (client, prospect, supplier, manufacturer).

Map Clients & Prospects: Companies which match the company types you have selected to import (as above) will appear in this list. You can map them to an existing company in HighGround (e.g. you may have already created them manually or imported them from another integration) or create them in HighGround (Import as "xxx").

If you want to create the company in HighGround but with a different name, type the name in the search field then click the blue 'Import as xxx".

You can choose to not import the company by selecting 'Ignore'

Tip: you can get extended details about a company from your PSA by hovering over the company row and clicking 'Details'.

3.2 - Contacts

Import & map contacts: This will allow HighGround access to import contacts found in your PSA to be mapped.

Automatically Import new contacts: Any new contacts detected in your PSA will be automatically created in HighGround. This will be limited to the contact types you have chosen to import and map.

Contact types: The contact types found in your PSA will show here. You can decide if you would like to import these into HighGround. You can choose not to import the contact by selecting 'Ignore'. If you choose to import a contact they will appear in your client user list ready for you to invite them to HighGround.

Note: users will not be automatically invited, they will be soft imported ready for you to invite manually.

3.3 - Products

Automatically import new category types: Any new product categories found in your PSA will be automatically created in HighGround if you have chosen to import them.

Import Options

> by product: you can map your products one-by-one to the HighGround categories/subcategories. This is time consuming and not recommended.

> by category: you can map the category's/subcategories in your PSA to the categories/subcategories in HighGround. Since all products in your PSA are linked to a category/subcategory, products will be imported based on this association. This is much more efficient than mapping by product, but gives you less control.

Mapping Options:

> Ignore: this will ignore the product/category/subcategory and data will not be imported.

> Import "xxx": this will import the product/category/subcategory exactly as it is named in your PSA (with the text included in the quote marks).

> Import "custom text": this will import the product/category/subcategory with a custom name. To do this, use the search at the top of the mapping modal, and 'Import as "xxxx" will appear in blue text at the bottom of the modal.

Stay tuned: We are actively working on an 'Import with AI' feature for importing your PSA product data!


Custom Categories:

You can create your own categories in HighGround by searching for the category/subcategory and selecting the 'Import as "xxxx" at the bottom of the modal in blue text.

This will prompt you if you want to create this is a Category or a Subcategory (in the case of a subcategory, you will be prompted to select the parent category)

Stay tuned: We are working on a category management module that you can control category visibility across all clients in a central settings pane!

3.4 - Assets

This feature is currently undergoing testing. Come back later for updates.

3.5 - Members

Note: Members is a general term for your MSPs Employees.

ConnectWise Manage/PSA uses the term 'members
HaloPSA uses the term 'agents'
AutoTask uses the term 'users'

Import & map members: This will allow HighGround access to import members found in your PSA to HighGround to be mapped.

Automatically import new members: Any new members detected in your PSA will be automatically imported to HighGround.

Members: All members found in your PSA will be shown in this list. You can choose not to import them to HighGround by selecting 'Ignore'. If you would like to import them you can do so by selecting 'Import' or you can give them a custom name by selecting 'Import as...' and giving them a custom name. If you choose to import a member they will appear in your members list ready for you to invite them.

Note: Users will not be automatically invited, they will be soft imported ready for you to invite them manually.

4.0 - Updating & Remapping your PSA data

You can map new data, and remap existing data in your PSA data at any time, by going to the integration and clicking 'View Mapping'.

Make the changes you require and click Sync - this will trigger a sync and remap, which can take several hours to complete - you will receive an email letting you know it has completed.

5.0 - Upcoming features

We have some exciting new functionality coming in Q1 2025 to make mapping your PSA data faster and more flexible:


Import products with AI
To speed up getting your data into HighGround and to increase the accuracy of technology spend categorisation from your PSA and Finance systems, we're working on an AI implementation to automatically map your clients spend data automatically.

Smart mapping for products and categories using AI
To speed up mapping your product categories/subcategories, we're working on a smart mapping feature which will use AI to automatically map your PSA categories to HighGround categories, saving you time and getting you onboarded faster!

Product Exceptions
Even AI doesn't get it right 100% of the time, and you don't want to waste your time cleaning up the data your PSA just to get HighGround working the way you want. With Product Exceptions, you will be able to override any product, category or AI mapping and create a manual mapping to a HighGround category.

Generic Product Distribution
For MSPs who bundle their service offering into larger per seat pricing (e.g. $150 /user /month that includes everything) - our new generic product distribution feature will enable you to map these products by % across HighGround categories, ensuring you get the great visualisation of HighGround without having to change the way you work! This feature will also work well for other generic products such as 'Project Fee' or 'Installation' which includes elements of hardware, software, labour etc.

API for importing your data (Q2 2025)
For users who don't have a PSA, a supported integration or want to import spend data in a more customized way, we're releasing an API for users to have maximum flexibility.
