1.0 - Introduction
Distributed spend allows you to split your products across a number of categories in HighGround meaning that the spend will also be distributed to best fit the way that products cost fits into your company.
For example, If your MSP sells IT Support Services as one of their products. This might not all just be IT support - it could fall in to a number of different categories at different percentages.
You can distribute your spend straight from the PSA level in your connected integration or you can distribute spend for single line items on a 1 time instance.
2.0 - Distributing options
You have 3 options when it comes to distributing spend:
Evenly
Selecting Evenly means HighGround will take care of the maths for you. No matter how many categories you choose, the system will automatically divide the spend equally — ensuring each category gets its fair share of the total cost. It’s quick, clean, and perfect for when you want an even split without the manual effort.
Manual
Choosing Manual puts you fully in control. Once you’ve selected the categories you want the product to be distributed across, you can define the exact percentage of the total spend that each category should receive. It’s ideal when you need precision or want to allocate spend based on specific usage or value.
Preset
Presets are your saved manual distributions — handy templates you’ve already created for reuse. When setting up a manual distribution, you can select Save as Preset, and HighGround will store your chosen categories and percentage splits. Next time you need the same setup, just pick the preset and skip the repetitive setup steps. Efficiency at its finest.
3.0 - Distributing PSA products
When you distribute spend at the PSA level, you’re essentially telling HighGround, “This product’s cost should be spread out across the entire platform wherever it appears.”
That means every time that product shows up in HighGround - it’ll use the same distribution you’ve set up here. The key thing to remember is that this distribution can only be changed from the PSA mapping page. So if you ever need to tweak how spend is allocated, that’s your go-to spot.
Here’s how to set up or edit your spend distribution for a product:
Step 1: Head over to your PSA Product Mapping page and click “Add Exception.”
Step 2: From the dropdown list, select the product you want to distribute.
Step 3: Toggle on “Distribute Spend.”
Step 4: Choose your distribution method:
Evenly – Split the cost equally across all selected categories.
Manually – Take full control and assign your own percentages.
Presets – Use your predefined templates to save time and keep things consistent.
Step 5: Select the categories and/or subcategories that the product’s spend should be distributed across.
Step 6: Double-check your distribution percentages — make sure they add up correctly and reflect how you want costs allocated.
Step 7: Click Save.
Reviewing and Managing Your Exceptions
Once saved, your distributed product will appear under the Exceptions section of your mapping page.
From here, you can:
Edit existing exceptions if your distribution changes.
Delete exceptions you no longer need.
Add new ones as your product list evolves.
It’s a simple, centralised way to make sure your PSA data and HighGround’s spend insights stay perfectly in sync — giving you more control and cleaner reporting across the board.
4.0 - Distributing line items
There might be times when you only need to distribute the spend for one specific item — not across your entire HighGround setup. Maybe it’s a one-off purchase, or perhaps it doesn’t fit neatly into your existing PSA mapping rules. Whatever the reason, you can easily handle this directly from the Technology Spend Dashboard instead of the PSA Mapping screen.
Here’s how to do it:
Step 1: Head over to the Technology Spend Dashboard and locate the invoice containing the product you want to distribute.
Step 2: At the bottom of the invoice modal, select Edit.
Step 3: Find the specific line item that needs to be distributed.
Step 4: Click the edit (pencil) icon at the end of that item’s row.
Step 5: A few extra details will drop down, including the Distribute Spend toggle, turn this on.
Step 6: Choose which categories you want to distribute the line item across, and set the percentage split for each.
Once you hit Save, HighGround will automatically recalculate your distribution. Your Technology Spend Dashboard will refresh instantly, reflecting the changes in real-time — no waiting, no manual updates needed.
Note: Distributing line items this way is a one-time action — it only applies to this specific invoice instance. The distribution won’t be carried over or applied to the same product anywhere else in HighGround.
